How Do I Keep Bookkeeping Simple Over the Holidays?
Running a micro or one-person business doesn’t stop just because it’s the holidays. But your bookkeeping doesn’t need to turn into a second job either. The goal over this period isn’t perfection — it’s staying current enough that January doesn’t arrive with a nasty surprise.
The simplest way to keep bookkeeping easy is to reduce decisions and capture details while they’re fresh. Most businesses fall behind because they postpone entry, then can’t remember what a transaction was for, whether a receipt exists, or how GST should be treated.
A Simple Holiday Bookkeeping Routine That Works
Here’s a holiday-proof routine that takes less time than making a coffee.
Twice a week, enter income such as invoices issued, payments received, and anything still unpaid.
Twice a week, enter expenses including the date, amount, short description, category, and whether GST applies.
Attach the receipt immediately, or at least store it in one consistent place so you can find it later.
Keep descriptions practical. “Tools” is vague. “Tools – client job” is useful. “Tools – client job – supplier” is even better.
If you can only do one thing during the break, do this: don’t let receipts and transactions pile up. Pile-ups create guesswork, and guesswork creates errors. Small errors then snowball into bigger headaches at BAS time or when you’re trying to work out why cash feels tight.
Common Holiday Traps to Avoid
Two common traps show up around this time of year. The first is the “pause bookkeeping” trap — you tell yourself you’ll catch up later, then later becomes a full Saturday you didn’t want to donate to admin. The second is the “overcomplicate it” trap — you try to create a perfect system while you’re busy, tired, and distracted.
Holiday bookkeeping should be simple, not a redesign project.
A good system for a micro business is one you’ll actually use. If recording income and expenses is fast and clear, you’ll keep momentum. If it feels like an accounting exam, you’ll delay it — and the gap grows.
Keep it light, keep it consistent, and January will feel like a fresh start instead of a clean-up mission.
